TrueAxis Ledger LLC (“we,” “us,” or “Firm”) is committed to protecting the privacy and confidentiality of our clients’ financial and business information. This Policy describes how we collect, use, protect, and share information in connection with our bookkeeping services.
1. Information We Collect
In the course of providing bookkeeping services, we may collect and process:
- Business and personal contact information (name, address, email, phone)
- Financial records, bank and credit card statements, receipts, invoices, and related documents
- Login credentials or access permissions for accounting software and bank feeds (when authorized)
- Other information you voluntarily provide in connection with the Services
2. How We Use Information
We use client information solely to:
- Perform the bookkeeping and related services described in our Engagement Letter
- Communicate with you about your account and the Services
- Maintain accurate books and prepare financial reports
- Comply with legal, regulatory, or professional obligations
3. Confidentiality
We treat all client financial and business information as confidential. We will not disclose your information to third parties except: (a) as required by law, court order, or professional standards; (b) with your prior written consent; or (c) to trusted service providers (such as software platforms) who need limited access to help us perform the Services and who are bound by confidentiality obligations. Our confidentiality obligation continues after the engagement ends.
4. Data Security
We take reasonable administrative, technical, and physical safeguards to protect client information against unauthorized access, loss, or misuse. This includes using secure software platforms, limiting access to authorized personnel, and following professional standards for record handling. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
5. Third-Party Software Platforms
We use reputable third-party platforms (including Intuit QuickBooks and similar tools) to deliver services. Those platforms have their own privacy and security practices. When we manage a QuickBooks subscription on your behalf, we do so only as needed to perform the Services, and access ends when our engagement ends unless other arrangements are made.
6. Record Retention
We retain client records and work papers for as long as needed to provide the Services and as required by professional standards and applicable law. Upon termination of the engagement and payment of outstanding fees, we will provide reasonable copies of the books and reports we maintained for you. We may retain copies of work papers for our records. See our separate Record Retention Policy for additional detail.
7. Your Responsibilities
You are responsible for:
- Providing accurate and complete information
- Keeping login credentials secure and not sharing them with unauthorized persons
- Promptly notifying us of any suspected unauthorized access to your accounts or data
8. Changes to This Policy
We may update this Policy from time to time. The current version will be made available to clients upon request and may be posted on our website. Continued use of our services after a change constitutes acceptance of the updated Policy.
